We’re very excited to virtually welcome you to the 2023 501(c)onference. We will be using an exciting and interactive virtual event platform called Accelevents. We have outlined a series of steps below to ensure that you are able to access the platform, set up your profile, register for sessions, and troubleshoot any issues you may run into in the process.

Accessing the Conference

After purchasing your conference ticket through Eventbrite, you will be sent several reminder emails with more information leading up to the conference.
On Monday, May 8 you will receive an email to access the virtual event hub, set up your profile, and bookmark sessions you would like to attend.
 
Just click the Join Event button to enter the event without creating a password.

Profile Setup and Options

Once you’re in the virtual event hub, you will be directed to your profile page. You will start by completing your profile and adding your name, pronouns (optional) and email address. Once you click “Next Step”, you will be prompted to enter your job details and more about you, both are optional, and you can skip. After completing these steps, when you return to your profile, you will see 4 tabs: Basic Details, Interests, Privacy, and Meetings & Connections.  Fill in the fields desired in each tab. They are optional.

Selecting the Chroma Camera

With the increase of virtual events becoming a solution for connecting, using a virtual background is a great way to make your interactions more fun and engaging! A great tool that can be used with Accelevents is Chromacam

To use ChromaCam, you must first download the application. Then within our platform, follow the steps to access the Accelevents Studio. Click here for steps on how to access the Accelevents Studio.

When you first enter your studio portal, you’ll be asked to set up your audio and video devices. In the Camera field select ChromaCam as your camera option. 

In 15 seconds or less, the ChromaCam application will open and you’ll be able to choose between the different virtual event backgrounds available. In the Accelevents Studio, your video feed will reflect the virtual background you’ve chosen in the ChromaCam application!

ChromaCam is available for Windows and MacOS X 10.14 or later.

Signing Up For Sessions

From the event Lobby you can view the conference Agenda. Though this is not a required step, you can pre-select the sessions that you want to attend by clicking the “Bookmark” button next to the session title.

Troubleshooting

Browsers

  • The virtual conference platform works best with Google Chrome.

  • When using an iPhone or iPad, Safari might work better.

  • Firefox and Internet Explorer are not supported.

Incognito Mode

  • In Chrome, there is a separate, and private, web browsing mode called ‘Incognito’. Safari and Firefox both offer this as well – called “Private Browsing”.

  • In Incognito, none of your browsing history, cookies and site data, or information entered in forms are saved on your device. Websites see you as a new user and won’t know who you are. This provides a quick way to get around stored cookies & cache that might affect your experience within the Virtual Event.

  • To open an Incognito Browser go to either the 3-dots on the upper right-hand corner of your Chrome browser OR File > New Incognito Browser.

Clear Your History & Cache

  • Clearing the history & cache will be the final step before restarting your device (see below). Clearing the history & cache will fix certain problems, like loading or formatting issues on web pages. This will also help your device load and run faster online.

    • Go ‘Settings/Preferences’ on your Google Chrome.

    • Click on ‘Privacy and Security’ then ‘Clear Browsing Data’.

    • At the top of the pop-up, choose a time range. Select either ‘All time’ or at minimum ‘last 7 days’.

    • Next to ‘Browsing history’, ‘Cookies and other site data’, and ‘Cached images and files,’ check the boxes.

    • Click Clear data.

Video, Audio, and Notification Permissions

  • These permissions need to be ‘allowed’ in order for the platform to work as expected. You will need to have your notifications turned on to receive alerts for chats.

  • Enable the camera and microphone in your browser once the alert appears.

  • If you didn’t have that pop up you’ll need to go through your browser settings > site settings in order to enable permissions. From here you can also enable camera, microphone, sound, notifications, etc by going into your site settings from the lock icon in the URL bar or the 3 dots in the upper right-hand corner.

  • You will need to refresh your page after updating these permissions.

  • If problems are still experienced while attempting to share camera, video, or screen access please be sure to COMPLETELY close out of ALL PROGRAMS & APPLICATIONS that are not relevant to your participation in the Virtual Event.

  • Oftentimes programs and applications that appear to be closed are still running in the background. Camera, audio, and screen sharing will not be able to share access between the application and browser. Zoom is a common culprit of this!

Restart Your Device

  • Still, running into problems? Stop here and restart your device!

  • How does restarting fix functionality and performance? It’s actually really simple: when you restart your device, everything that’s in RAM is cleared out. All the fragments of previously running applications are purged, and all currently open applications are killed. When the device reboots, RAM is basically “cleaned,” so you’re starting with a fresh slate. And with that, things are snappier!

Maura Harrington Ph.D., MBA

Executive Vice President
Center for Nonprofit Management

Maura is known for her expertise in organizational development and strategy and in all aspects of organizational development with a focus on strategic planning, assessment, and evaluation. At CNM, she oversees the client services team and provides consulting, training, and coaching services to a broad range of organizations. Much of her consulting and capacity-building work has been with community-based organizations and public health departments related to effective organizational operations, evaluation practices, and the use of logic models and other assessment tools to support planning, evaluation, and management. A BoardSource Trainer, a certified Advanced Associate, and a Trainer for the Connective Leadership Institute; Maura has completed certification as an executive coach under the International Coaching Federation. She holds a Ph.D. in Organizational Behavior from the Claremont Graduate School, an MBA from the Peter Drucker Graduate Management Center, a BS in Psychology from Georgetown University, and serves as an adjunct professor at USC’s School of Social Work and Department of Psychology.
